Job Description
The Administrative Coordinator will be responsible for providing support and management of the Administrative functions for the Fiscal Department.

This position reports to the Fiscal Director of the Health Promotion Division.

Job Responsibilities
Serves as a direct assistant for the Fiscal Director, including attendance at meetings as assigned, monitoring the progress of Fiscal Action Items, transcribes and disseminates notes from the meetings as required.
Supports the development, documentation and maintenance of fiscal department standard operating procedures (SOPs).
Provides support and management of all administrative functions in the Fiscal Director’s office including but not limited to travel and reimbursement requests, signature/approval processes for documents, correspondence and review of documents requiring approval.
Provides support and/or management for special events, programs and projects. (Support includes: creating high quality presentations and reports, coordinating arrangements i.e. conferences, workshops, and meeting, preparing agendas).
Manages Fiscal Director’s schedule including resolution of schedule conflicts.
Organizes, delegates, and executes fiscal activities and special projects as assigned by Fiscal Director, managing deadlines and preparation of any reports.
Manages assigned projects with minimal supervision.
Serves as a liaison for the Fiscal Director with other sections, programs, and departments, as needed.
Plans and coordinates meetings, conferences, seminars and travel calendars including logistics, agenda and materials development, coordinates attendee’s participation, generates meeting minutes and manages follow-up of action items.
Anticipates the needs of the Fiscal Director in preparation for meetings, outstanding deadlines and presentations.
Conducts research to compile information needed to generate reports, complete projects, accurately respond to questions and concerns, and compile correct information for meetings.
Coordinates all correspondence including responding to requests or issues on behalf of the Fiscal Director.
Maintains confidentiality and discretion in daily operations.
Oversees, maintains and updates Fiscal organizational chart, phone directory and other requested reports, as needed.
Reads, routes and responds to incoming mail, attaches appropriate files/documentation for mail requiring a response from the Fiscal Director.
Assists with the coordination, identification, preparation and submission of grants, funding applications and contracts, as assigned.
Performs other assignments as required.
Minimum Qualifications
Bachelor’s degree in business or related field from an accredited college or university AND One year of experience related to area of assignment.
